Checklist templates

Build a template for each procedure: steps and sub-steps, each with a description, a required flag, an estimated time and a safety note. Templates are typed as maintenance, preventive maintenance, inspection or service, and can be switched active or inactive.

Recurring schedules

Set a schedule to repeat daily, weekly on chosen weekdays, monthly on one or more dates or the last day, quarterly, or every set number of days. Give it a start and end date, skip weekends if you need to, and pause it without deleting it.

Attach templates to assets and locations

Template assignment links a procedure to the assets it applies to. Service templates can also be assigned to locations, for work such as cleaning rounds that belongs to a place rather than a machine.

A scheduled job creates the ticket ahead of the due date and copies the template's steps into the ticket's checklist. If the job missed a few days, it catches up rather than leaving a gap.

A calendar for the month ahead

The maintenance calendar shows every scheduled occurrence by month or year, colour-coded as scheduled, in progress, completed or overdue. Services have their own calendar.

Good to know

The scope and limits of this part of the product, so there are no surprises later.

  • Checklist steps are answered with a written response and reviewed by a supervisor. Steps do not have typed inputs such as meter readings or pass/fail fields.
  • Schedules repeat by calendar date. Usage-based triggers such as running hours are not supported.
  • Larger planned jobs that involve several tickets, a budget and procurement are managed as a work plan.
  • Checklists can be exported to PDF in English, Filipino and Bangla for crews who prefer paper.

Questions about preventive maintenance

What repeat patterns are supported?

Daily; weekly on the weekdays you choose; monthly on a single date, several dates or the last day of the month; quarterly; and a custom interval of a set number of days. Each schedule has a start date, an optional end date, and an option to skip weekends.

What exactly is created when a schedule falls due?

A ticket for that asset or location, with the steps of the assigned template copied into its checklist. From there it behaves like any other ticket: it is assigned, worked on a phone, reviewed and closed.

Can I pause a schedule during a holiday or shutdown?

Yes. Schedules can be paused and resumed. A paused schedule stays in the list and shows as paused in the analytics.

Is preventive maintenance kept separate from service work such as cleaning?

Yes. Maintenance and Services are separate areas of the product, each with its own checklist templates, template assignment, recurring schedules, calendar and analytics.
